POSITION SUMMARY 

Reporting to the SummerStage & Charlie Parker Jazz Festival Programming Managers, the Artist Services Coordinator manages all aspects of previously negotiated artists' logistics at SummerStage Citywide and the Charlie Parker Jazz Festival (CPJF). The Coordinator also serves as the programming point person on site for artist hospitality.

COMPENSATION:  $25 per hour

RESPONSIBILITIES

Remote

  • Advance and book previously negotiated flights, hotel accommodations, and ground transportation needs for artists.
  • Acquire receipts and track artist's expenses. 
  • Advance and maintain artist’s guest list
  • Maintain talent rooming lists and flight itineraries 
  • Handle petty cash and do shopping for the artist rider and catering fulfillments
  • Additional artist relations support as needed
  • Track the Artists Catering Budget throughout the season

On Site

  • Be on-site for all Citywide free and CPJF concerts from pre–sound check through artist departure, including post-show green room breakdown and cleanup.
  • Arrive on site before the artists and make sure their area is set up properly
  • Ensure all artists and artist team members are properly credentialed for venue access
  • Troubleshoot any artist guest list requests
  • Work in tandem with the programming and production office for all artists' needs, dressing room assignments and run of show.
  • Set up the artist's table, green room or designated areas with coffee, tea, fruits, and snacks
  • Greet artists upon arrival on site and check in on their needs throughout the day
  • Keep track of hospitality inventory (snacks, utensils, napkins, cups, etc.) and replenish accordingly 
  • Coordinate and collect required signatures for posters, as needed
  • Be warm, welcoming, greet artists, and act as the main point person for artists' hospitality 
  • Maintain the artist's green room cleanliness
  • Serve as a runner for any hospitality last minute needs
  • Support artist meet-and-greet, when needed. 
 

QUALIFICATIONS 

  • Minimum of three years experience as an artist support coordinator for a performing arts center, music venue, catering company, promoter and/or major tour
  • Minimum three years of administrative work experience in the music business, performing arts, or with a talent agency
  • Excellent multitasking skills and organizational skills
  • Strong interpersonal and teamwork skills mi
  • Strong customer service skills 
  • Attention to detail and high level of accuracy
  • Demonstrate good judgment and a professional demeanor
  • Extremely dependable punctual, detail-oriented and organized
  • Ability to manage special projects independently and to completion
  • Working knowledge of Google Apps required
  • Valid driver’s license a plus
  • Bachelor’s degree from an accredited college or university preferred

Free golf, tennis, track & field, soccer, and fitness programs bring high-quality instruction and equipment into areas where few organized athletic opportunities exist. We offer leveled training, year-round scholarship coaching, and special pro events.
