POSITION SUMMARY  

The Systems & Operations Coordinator will support the day-to-day administration of City Parks Foundation's technology systems and tools, including Google Workspace, Salesforce, and other platforms used across the organization. This role helps ensure staff can effectively access, use, and rely on these systems in their daily work.

This is a highly collaborative role that works across teams to troubleshoot issues, manage requests, support technology operations, and contribute to ongoing improvements in how systems are used. The Coordinator will play a key role in keeping day-to-day operations running smoothly and helping build more consistent processes over time.

This position reports to the Senior Manager of Systems and Strategy.

COMPENSATION  $60 to $70,000.00 per year

RESPONSIBILITIES 

Systems Operations & User Support

  • Serve as a go-to resource for staff with system-related questions and issues.
  • Manage and track incoming requests across systems and tools.
  • Troubleshoot day-to-day issues and coordinate resolution with internal teams, vendors, or Parks IT as needed.
  • Support onboarding and offboarding processes, including system access and account management.

Systems Administration & Maintenance

  • Support administration of Google Workspace and other organizational systems.
  • Assist with Salesforce reporting, ticket management, data cleanup, testing, and user support.
  • Support Google Workspace user setup, access management, licensing, and troubleshooting.
  • Coordinate laptop and mobile device setup, assignment, and support.
  • Support management of organizational systems, permissions, and user access.
  • Support administration of cybersecurity and endpoint protection tools.

Documentation, Training, & Security

  • Maintain and update internal documentation, process guides, and intranet content.
  • Document new processes and system changes.
  • Coordinate cybersecurity training assignments and completion tracking.
  • Support efforts to improve system consistency, security practices, and user adoption across teams.

Project & Operational Coordination

  • Help track work across systems and ensure progress on requests, projects, and deliverables.
  • Coordinate follow-up with consultants, vendors, and internal stakeholders.
  • Gather information, organize requirements, and support implementation of small operational and systems-related projects.
  • Support ongoing efforts to improve workflows, processes, and organizational efficiency.

QUALIFICATIONS 

  • 3-5 years of experience in operations, systems support, IT support, or a related field
  • Strong organizational skills and attention to detail
  • Comfortable learning and working across multiple systems and tools
  • Ability to manage multiple tasks and follow through independently
  • Strong communication skills and ability to work across teams
  • Demonstrated ability to manage work independently and follow through without close supervision

PREFERRED QUALIFICATIONS

  • Experience with Google Workspace administration
  • Familiarity with IT support, device management, or troubleshooting
  • Experience with Salesforce or another CRM
  • Experience with form-building tools (e.g., FormAssembly, Google Forms)
